Automotive Maintenance Administrator

Every vehicle service, repair or tyre swap leaves a trail of paperwork, and this hybrid role in Auckland CBD keeps that trail straight. A long-running business that services vehicles and manages fleets wants a Maintenance Administrator to slot into its close-knit, cooperative office.

Most of the day goes on logging jobs, checking bills, updating files and pushing requests through on time. Phone work is a big part of it, so a clear, confident manner counts.

People who have done office admin, capturing data, front-desk customer work or time in the motor trade will fit in. You will need to show proof of past jobs and duties, so collect reference letters on company letterhead before you apply.

Key Responsibilities

  • Look after the paperwork when a vehicle goes in for a service, a repair, general upkeep or new tyres, and capture every transaction correctly on the internal systems
  • Compare each invoice against the work done, query anything that does not add up, and match off transactions until nothing is left open
  • Keep an eye on the job queues so no request sits past its agreed turnaround
  • Make sure each vehicle's service history and backing documents stay correct
  • Call service providers about open requests or details still missing, and stay in touch with workshops, vendors, clients and colleagues
  • Field questions about vehicle upkeep and help get problems sorted
  • Give the Maintenance Controllers day-to-day admin support
  • Handle many requests side by side and still get the details right, so clients are well served and the maintenance side runs without hiccups

Requirements & Eligibility

  • You need a track record in office administration, capturing data or similar work, and must be able to prove your past jobs and what you were responsible for
  • Very careful and precise when working with files and financial entries
  • Comfortable on the phone with a polished manner, and able to get your message across clearly to clients, vendors and colleagues
  • Organised, with the ability to balance several urgent tasks
  • Copes with deadlines when the office gets hectic
  • Solid computer ability and picks up unfamiliar systems fast
  • Dependable, upbeat and cooperative with colleagues
  • Automotive industry experience or genuine automotive knowledge is advantageous; time spent as a Service Advisor, Service Administrator or in a similar job is desirable
  • Work done abroad counts if it is relevant and can be properly checked
  • Must satisfy applicable Australian employment and sponsorship requirements
